1. About Us

This website and platform are operated by Medtribe LTD, Company No. 13921113, registered in England and Wales.

Registered address: Admiral Rodney House, 17 Church Street, Walton-on-Thames, England, KT12 2QP.

References to "Medtribe," "we," "our," or "us" mean Medtribe LTD.

2. Acceptance of These Terms

By creating an account or using the Medtribe platform, website, or related services, you agree to these Terms of Service and to comply with all applicable laws and regulations.

If you do not agree, you must not use Medtribe.

These Terms incorporate our Privacy Policy, Acceptable Use Policy, and Cookie Policy (together, the Policies).

We may update these Terms occasionally. Material updates will be announced through the platform or by email with at least 7 days' notice, and your continued use after the effective date constitutes acceptance.

3. Eligibility and Minors

Medtribe is intended for users aged 16 and over.

Organisations that invite or manage participants under 16 are solely responsible for obtaining lawful parental or guardian consent and complying with all child data laws.

Medtribe strictly prohibits any data relating to children under 13. If such data is discovered, we may delete it without notice.

Medtribe bears no responsibility for safeguarding or consent management for minors—these remain the full responsibility of the organiser.

4. Accounts and Access

Each Medtribe user account is unique to an individual and may not be shared or transferred.

We use technical measures to prevent account sharing or circumvention of restrictions.

5. Subscription Plans and Billing

Medtribe offers several paid subscription tiers, including Starter, Educator, and Pro. Each provides different levels of functionality, as defined by Medtribe from time to time.

Payments: Subscriptions are billed monthly or annually through Stripe or invoicing. VAT or other taxes are shown at checkout.

Auto-renewal: Subscriptions renew automatically until cancelled.

Refunds: All fees are non-refundable except where required by law or at Medtribe's sole discretion. Stripe processing fees are not refundable.

Feature control: Medtribe may introduce, modify, or retire features within any tier at its discretion, providing 7 days' notice and a 14-day grace period.

Pricing changes: Subscription fees may change from time to time. Existing subscribers will receive at least 30 days' notice before any increase takes effect. New prices apply at the next renewal after the notice period. If you do not wish to renew at the new price, you may cancel before renewal.

Pricing and inclusions: Determined by Medtribe and may change with notice.

6. Acceptable Use

You must use Medtribe only for lawful and appropriate purposes.

7. Intellectual Property and User Content

The Medtribe platform, software, and design are owned by Medtribe and protected by copyright and trademark law.

You retain ownership of any content you upload, such as course materials, events, and discussions.

By uploading content, you grant Medtribe a limited, non-exclusive, worldwide licence to host, display, and process it for service operation, maintenance, and compliance.

Medtribe may access or review uploaded content as necessary to provide support, investigate issues, or enforce policies.

Except for this limited licence, Medtribe claims no ownership over your content.

You may not copy, resell, or modify Medtribe's software or materials.

7A. Data Portability

You may request a copy of your data at any time by contacting support@medtribe.com.

Exports are provided in common formats (such as CSV or PDF) within 14 days of a verified request.

Organisation administrators control exports of organisational data; individual users can export their personal data.

8. Data Protection and Privacy

Medtribe complies with the UK GDPR, EU GDPR, and applicable international privacy laws.

Roles

Medtribe as Controller: For all user accounts, platform operations, analytics, and billing data.

Medtribe as Processor: For organiser-related participant data—whether uploaded by the organiser (attendance, certificates) or submitted by attendees to that organiser (bookings, surveys)—processing only under the organiser's instructions.

Organisers must not upload or collect patient or other health data. Doing so is a material breach of these Terms.

Data is stored securely on UK/EU servers.

8A. Data Retention

We retain account data while your account remains active and as needed to provide services.

After closure, most personal data is deleted within 7 days, although limited records (such as billing, audit, and security logs) may be retained for up to 7 years for legal or regulatory purposes.

When an organisation ends its subscription, data created or collected within that organisation's workspace may be retained for up to 90 days to allow export or reactivation, after which it is permanently deleted unless otherwise requested sooner.

This does not affect the individual Medtribe accounts of users who joined through that organisation.

9. Third-Party Processors

Medtribe uses trusted third-party providers to deliver its services, including:

We may update this list from time to time; material changes that could significantly affect data handling will be communicated to organisation administrators where appropriate.

10. Warranties and Disclaimers

Medtribe provides its services "as is" and "as available", without warranties of any kind, express or implied.

We disclaim all warranties including merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation.

Medtribe is an educational and collaboration platform, not a clinical or medical system.

It must not be used for patient care, diagnosis, or treatment decisions.

Users are responsible for verifying content accuracy, meeting professional obligations, and maintaining backups of critical data.

Nothing in these Terms limits liability that cannot be excluded under law, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation by Medtribe.

11. Service Availability and Support

Medtribe provides its services on an "as-is" basis and does not guarantee uninterrupted access or specific performance levels.

We may update, suspend, or withdraw features at any time.

12. End of Service and Business Continuity

If Medtribe discontinues the service or makes material changes that substantially reduce functionality, we will provide at least 30 days' notice where practicable to paying subscribers.

During any wind-down period, you may export your data. We will maintain export access for a reasonable period following notice, unless prevented by circumstances beyond our control.

If Medtribe undergoes a merger, acquisition, or corporate restructuring, these Terms will continue to apply unless the data controller changes, in which case users will be notified in line with data protection law.

After final service termination, Medtribe has no ongoing obligation to store or provide access to any data except as required by law.

13. Termination and Data Deletion

14. Liability and Indemnity

Liability cap: Medtribe's total liability for any claim arising from or relating to the service is limited to the greater of £100 or the total fees paid in the previous 12 months.

For free-tier users, Medtribe's total liability is limited to £100 per claim, except for liabilities that cannot be excluded by law (including fraud, death, or personal injury caused by negligence).

Exclusions: Medtribe is not liable for any loss of profits, revenue, data, goodwill, opportunity, or any indirect or consequential loss.

Third-party and user fraud: Medtribe is not responsible for, and accepts no liability arising from, any fraudulent, misleading, or unlawful activity conducted by other users or third parties through the platform.

Indemnity: You or your organisation agree to indemnify Medtribe for any costs, damages, or claims arising from your breach of these Terms, including submission of unlawful data (such as patient information) or infringement of third-party rights.

Force majeure: Medtribe is not liable for delays or failures caused by circumstances beyond its reasonable control.

15. Accuracy of Information

Information provided on Medtribe is for general use and may not be comprehensive or current.

We make no warranty regarding accuracy, results, or reliability of any materials or linked resources.

16. Severance

If any part of these Terms is found to be invalid or unenforceable, the remaining provisions continue in effect.

17. Governing Law

These Terms are governed by and construed under the laws of England and Wales.

You agree to submit to the exclusive jurisdiction of the courts of England and Wales.
