Tickets
Tickets define how attendees can register for your event sessions. You can create free tickets for open events or paid tickets when charging for attendance. Each ticket type has its own capacity, pricing, and description.
Understanding Tickets
Tickets are created at the event level and then attached to individual sessions. This allows you to:
- Use the same ticket types across multiple sessions
- Have different ticket types for different sessions
- Control capacity per ticket type
- Offer different pricing tiers
Creating a Ticket
- Open your event
- Navigate to Tickets
- Click Add Ticket
- Fill in the ticket details
- Save your ticket
Ticket Fields
| Field | Description |
|---|---|
| Name | Ticket name shown to attendees (e.g., "General Admission", "Early Bird") |
| Description | Optional description of what's included |
| Quantity | Maximum number of this ticket type available |
| Price | Ticket price (set to 0 for free tickets) |
| Tax Rate | VAT/tax percentage to apply |
| Currency | GBP, EUR, USD, etc. |
Free vs Paid Tickets
Free Tickets
For events that don't charge:
- Set the price to ÂŖ0
- Attendees can book without payment
- No payment setup required
Paid Tickets
For events that charge:
- Set your ticket price
- Configure tax rate if applicable
- Requires payment settings to be configured
- Attendees pay at checkout via Stripe
Managing Tickets
Editing Tickets
You can edit tickets that haven't been used for bookings. Once a ticket has bookings:
- The name and description can still be changed
- Price and quantity changes may be restricted
- You'll see a warning if editing affects existing bookings
Duplicating Tickets
To create a similar ticket:
- Find the ticket in your list
- Click the menu and select Duplicate
- A copy is created that you can modify
Deleting Tickets
Tickets can only be deleted if:
- No bookings have been made with that ticket
- The ticket isn't attached to any sessions
Attaching Tickets to Sessions
After creating tickets, attach them to sessions:
- Open a session
- Go to the tickets section
- Select which ticket types are available for this session
- Optionally set session-specific quantities
- Save
You can have different tickets available for different sessions of the same event.
Ticket Availability
Showing Availability
In your event settings, you can choose to:
- Show ticket availability - Display remaining places to attendees
- Show ticket price - Display pricing on the event listing
Sold Out Tickets
When all tickets of a type are booked:
- The ticket shows as "Sold Out"
- Attendees can join the waitlist (if enabled)
- You can increase quantity if more places become available
Common Ticket Scenarios
Single free ticket
Use case: Free training session open to all
- Create one ticket called "Free Registration"
- Set price to ÂŖ0
- Set quantity to your capacity
Early bird pricing
Use case: Discounted price for early registrations
- Create "Early Bird" ticket with lower price and limited quantity
- Create "Standard" ticket at full price
- When early bird sells out, only standard remains available
Different attendee types
Use case: Different prices for different groups
- Create "NHS Staff" ticket at one price
- Create "External" ticket at another price
- Attendees choose the appropriate ticket type
Limited VIP places
Use case: Premium option with extras
- Create "Standard" ticket for most attendees
- Create "VIP" ticket with higher price and lower quantity
- Describe VIP benefits in the ticket description
Best Practices
- Use clear names - Make ticket names obvious (e.g., "Standard Registration" not "Ticket 1")
- Add descriptions - Explain what's included, especially for paid tickets
- Set realistic quantities - Consider your actual capacity
- Include tax correctly - Ensure tax rates are correct for your jurisdiction
- Test before publishing - Preview the booking flow to check ticket display
Troubleshooting
Can't create paid tickets?
- Set up your payment account in Payment Settings first
- Complete Stripe verification if prompted
Can't edit a ticket?
- Tickets with bookings have editing restrictions
- Create a new ticket with the changes you need
Ticket not showing on event?
- Ensure the ticket is attached to at least one session
- Check the session is published
